Dear Potential Exhibitor:

We are excited to announce our event geared to homeschool families! HEART of Texas is the regional homeschool organization for North Texas. We coordinate one of the largest homeschool college nights in the country, and our vision for this event is to help families find options for curriculum and classes to help them “Start Right and Finish Strong.” Our HEART is for homeschool families to be successful as they seek the Lord in developing a vision for their homeschool that will minister to our children’s hearts and sustain them all the way through, from start to finish. Helping families “Start Right and Finish Strong” is our mission.
If you offer curriculum, classes, services, or other resources geared to homeschool families, we would love to have your business or organization represented at this event!

Registration for our attendees
is $40/family, and they will receive $30 in coupon/vouchers to spend at the bookfair upon arrival. So each family in attendance will be incentivized to make purchases at the event. The coupons will only be valid during the event itself, and will not be redeemable for cash.

Table space will be reserved for exhibitors on a first-come, first-served basis. Location:
Richardson Civic Center, 411 W. Arapaho Rd, Suite 102, Richardson, TX 75080 This is a great location, which will draw families from the most populous homeschool areas in DFW

EXHIBITORS Exhibitor fee:
$150 per space with a 6-foot table (maximum of 4 booth spaces per exhibitor) Workshop: $50 per exhibitor (slots are extremely limited)

BOOTH: Each Exhibitor will be provided a 6' table and 2 chairs.
Space is available on a reservation basis, as there are limited spaces available.
There will be no piping or draping. You may bring a tablecloth if you don't wish to have a bare table. You may also bring a freestanding backdrop no bigger than 6ft wide by 6ft tall. The HEART of Texas Board representatives reserve the right to remove any displays that are deemed unsafe, inappropriate, profane, offensive, or vulgar.

Exhibitor Details:
Each booth must represent only one exhibitor/business. Multiple exhibitors/ businesses may not share a table.

DISPLAYS/MATERIALS
You may use your table to display your materials. You may not pass out fliers from another business or organization.
Distribution of printed matter or other materials in the Exhibit Hall is restricted to the space(s) assigned to the Exhibitor.
Music or audiovisual sounds shall not disturb other Exhibitors.

EXHIBITOR NON-COMPETE AGREEMENT
Exhibitors may not exhibit or sell the materials of an author/publisher that is in attendance at the fair as an exhibitor.

ELECTRICITY
If electricity was ordered at the time of booth confirmation and payment, the electrical outlet will be available at your booth. Bring own extension cord, labeled with your company name.

EXHIBITOR PARKING
Vendors should park in the East Parking Lot of the Richardson Civic Center.

Overnight parking of motor homes, travel trailers or campers on city property is prohibited. Vehicles or trailers taking up multiple spaces in the South parking lot is prohibited. Parking in Council or Mayor space(s) is prohibited. Vendor parking in the Library lot is prohibited. Violators are subject to towing at owner’s expense.

HOTELS
If you are needing to stay overnight in the area, please refer to the Richardson CVB website for available hotels near the Richardson Civic Center.

FOOD
You are welcome to bring in food for your own consumption. Walkable Restaurant: Golden Chick, 445 W Arapaho Rd

ATM
There is an ATM available on-site in the Richardson Civic Center’s break room.

EXHIBITOR SCHEDULE
Exhibitors will be required to stay for the entire event. Friday 8AM-9:30AM Load-In and setup for all exhibitors Friday 10am-8:30pm Open for attendee shopping **Booth space must be manned at all times** Friday 6 PM–10PM Tear-Down for all exhibitors **No early tear-downs (prior to 6 PM) allowed** **All exhibitors must be completely out of the facility by 10PM**
EXHIBITOR UNDERSTANDS AND AGREES THAT SOMEONE MUST BE PRESENT TO MAN THE BOOTH(S) AT ALL TIMES WHILE THE VENDOR HALL IS OPEN.
If an Exhibitor fails to occupy their space by 10am on Friday, or fails to comply in any way with the terms of this agreement without prior permission from HEART of Texas, then HEART of Texas shall reserve the right to use such space in any manner, without refunding or releasing the Exhibitor from paying the sum agreed upon in the Exhibitor Contract.

SET UP:
Friday, August 2, between 8am-9:30am Expo doors open at 10am. All exhibitors need to have their tables completely set up and their cars moved to the exhibitor portion of the parking lot BEFORE 9:30am.
Please note: All booths must be set and ready for attendees by 10am.

FIRE EXITS:
Fire exits and City Hall office doors 101, 102, 103, 105, 106 and 108 may NOT be obstructed in any way throughout the entire length of the show. City employees must have access to the building and these doors at all times. There is to be no loading and unloading of equipment resulting in lane blockage at the East or West entrance of the building. Violators are subject to towing at owner’s expense. Any equipment weighing more than 200 pounds must be moved in and out through the East loading dock or the West service entrance. Such equipment should never be moved through the main entrances of the building.

TABLES/DECORATING:
There is no piping and draping. Each booth will consist of a 6ft table and 2 chairs. The tables will be bare, but you may bring your own tablecloth. Nails, hooks, screws, tacks, staples, putty, double-sided tape and strong adhesive tape CANNOT be used on the interior or exterior walls, windows, doors, outside signs or furnishings of the facility.

TEAR DOWN
Booths must remain intact until 6:00pm. All show equipment and trash must be removed from the building by 10:00pm
Please note: There is a penalty of $500 payable to HEART of Texas should you choose to dismantle
and/or vacate the contracted booth space prior to 6pm.
All trash must be swept and put in boxes or bags at the end of the show and placed in one central location. All major spills must be cleaned, and all tape must be removed from floors and tables. Fees may be assessed for cleanup and disposal of remaining items. The Richardson Civic Center will provide trash receptacles and liners.

LIABILITY
HEART of Texas does not guarantee Exhibitor against loss or damage of any kind. HEART of Texas has leased space to Exhibitor with the agreement that Exhibitor shall hold HEART of Texas harmless from any and all liabilities from any cause. By signing the Contract for Exhibitor Space, Exhibitor expressly releases and agrees to indemnify HEART of Texas, its board, its employees and representatives, and the Facility and its employees and representatives from any and all claims for such loss, damage, or injury.

UNFORSEEN EVENTS
If the management of the contracted-for venue causes this event to be cancelled, then this contract shall be terminated and Exhibitor shall waive any claim for damages or compensations except the prorated return of the amount paid for space rented. HEART of Texas will process such refunds as quickly as practicable.

SALES TAX/EXHIBITORS LICENSE
Exhibitors are responsible to collect and pay state sales tax as required by the State of Texas. Exhibitors are also responsible to obtain any required Exhibitor licenses.

EXHIBITOR BOOTH PLACEMENT
Exhibitor understands and agrees that all Exhibitor booth placements are at the discretion of HEART of Texas, regardless of the date registration is received.

INTERNET USAGE CONNECTION AT VENUE
The Civic Center has public Wi-Fi available. For a stronger connection, feel free to bring your personal hot spots. There are also charging stations in the hallways of the civic center, but HEART of Texas is not responsible for lost or stolen electronics. Please note that the connection speed may be slowed if there is an excessive number of users accessing the airspace all at the same time.
